Privacy Policy

We are straightforward about what we collect, why we collect it, and how we protect it.

This Privacy Policy describes how Snapcite Inc. ("Snapcite," "we," "our," or "us") collects, uses, and shares information when you use our website at snapcitelabs.com and our receipt-scanning and expense management service (together, the "Service").

Bookkeeping support, not tax or accounting advice. Snapcite is a bookkeeping organization tool. Nothing in this Privacy Policy or in the Service constitutes tax or accounting advice. Review all extracted categories and figures with a qualified tax professional before filing.

1. Information We Collect

Account information

When you sign up, we collect your email address, name, and a hashed password (or a third-party authentication token if you sign in via Google or another provider). We also store your plan tier and billing reference.

Receipt images and extracted expense data

When you upload a receipt, we receive the image file you submit. We send that image to our AI model provider, OpenAI, to extract fields such as vendor name, date, total amount, tax, line items, and payment method. We store a compressed version of the receipt image alongside the extracted structured data so you can review, correct, and export it at any time.

Usage and log data

Our hosting provider, Vercel, records standard HTTP request logs that include your IP address, browser type, referring URL, and timestamps. We use this data to operate, maintain, and improve the Service.

Payment information

Billing is handled by Stripe. We do not store your card number or bank details. Stripe provides us with a customer ID and limited metadata, including the last four digits of a card and subscription status.

2. How We Use Your Information

  • To scan, extract, and categorize your receipts and build expense summaries.
  • To authenticate you and maintain your account.
  • To process payments and manage your subscription.
  • To send transactional emails such as confirmations, receipts, and support replies.
  • To troubleshoot errors and improve extraction accuracy.
  • To comply with legal obligations.

We do not use your receipt data to train any third-party model, and we do not sell your personal data for advertising or any other purpose.

3. AI Processing

Snapcite sends receipt images to OpenAI's API so the model can read and return structured expense fields. OpenAI receives the image data as part of each API call. OpenAI's handling of that data is governed by its own Privacy Policy and API data usage policies. As an API customer, Snapcite operates under OpenAI's data processing terms, which specify that API inputs and outputs are not used to train OpenAI's models by default.

AI extraction may contain errors. Always review extracted fields before using them for financial decisions or tax filings.

4. Storage and Security

Your data is stored in an encrypted database hosted in the United States. Receipt images are downscaled and stored at reduced resolution to limit storage footprint. We use HTTPS for all data in transit and encrypt sensitive fields at rest. While we take reasonable precautions, no system is completely immune to security risks.

You can export all your expense data and receipt metadata at any time from your account Settings page. You can also request deletion of your account and all associated data (see "Your Rights" below).

5. Data Sharing

We do not sell your personal data. We share data only with service providers (subprocessors) that help us operate the Service:

  • OpenAI - AI model provider that processes receipt images for field extraction.
  • Vercel - Hosting and infrastructure provider.
  • Neon - Managed PostgreSQL database for encrypted account and expense data storage.
  • Stripe - Payment processing.

We may also share information when required by applicable law or to protect the rights and safety of Snapcite or others.

6. Your Rights

Depending on your location, you may have rights to access, correct, export, or delete your personal information. To exercise any of these rights, email us at privacy@snapcitelabs.com. We will respond within 30 days.

  • Access and export - Download your full expense data from the Settings page at any time.
  • Correction - Edit any extracted field directly in the app.
  • Deletion - Delete your account from Settings, or email us and we will complete the deletion within 30 days.

7. Retention

We keep your account and expense data for as long as your account is active. When you delete your account, we remove your personal data within 30 days, except where we are required to keep records for legal or compliance purposes. Billing records, for example, may be retained for up to seven years.

8. Children

Snapcite is intended for adults running a business or freelance practice. We do not knowingly collect personal information from anyone under 18. If we become aware that we hold data from a minor, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will also notify you by email.
